This FAQ provides answers to common questions and troubleshooting guidance for RDrive Progress Monitoring.

Schedule Setup & Configuration
What if I have more than one Schedule?
Add each Schedule to the presets and tag each project with the appropriate Schedule Code.
Schedule Codes allow multiple schedules to be managed.
Can I import my Schedule from Excel?
Yes. Generate the spreadsheet from Task Manager, update it and import it back.
Recommended for larger schedules.

Can I have different task structures on different projects?
Yes. Task structures can be configured at project level.
Can two Schedules use the same Schedule Code?
No. Each Schedule being tracked should have its own unique Schedule Code.
The Schedule Code identifies the Schedule and allows RDrive to distinguish between different Schedules being tracked.

Do I need to create Presets separately for every project?
No. Presets are created at Company level and populated with the appropriate values at Project level.
This provides a consistent structure across the company while allowing each project to hold the Schedule information relevant to that project.

Why is my Schedule not appearing correctly in Progress Monitoring?
Check that the Schedule Code populated in the Project Preset matches the Tag applied to the Schedule.
The Schedule Code and Schedule Tag are used to identify the correct Schedule. If they do not match, RDrive may not associate the Schedule correctly.

Items & Task Linking
Why can I not raise an Item against a task?
Check that you are a member of the Lead Team assigned to the task.
Only users within the Lead Team can raise Items against that task.

How do I retrospectively link existing Items?
Dashboard → Task Manager → Link → Select Schedule → Set Options → Detect Matches.
Existing Items can be linked without being raised again.
What should I do if the team responsible for a Task changes?
Update the Lead Team assigned to the Task.
The Lead Team determines which team is responsible for the Task and who can raise the associated Items. If responsibility changes, the Team should be updated within the Task Set.

Progress Calculation
What happens if there is no weighting?
Progress will not move beyond 0%.
Weighting determines how progress contributes towards completion.

Why can I not see progress completed against my Progress Items?
Check that weighting has been configured against the relevant field data.
Progress calculations depend on weighted field values.

Why does the Dashboard show less than 100% when my tasks look complete?
Check incomplete child tasks, weighting and outstanding Progress Items.
All contributing elements affect calculated progress.
Why does completing one Item not necessarily make the Task 100% complete?
A Task's progress can be calculated from multiple activities and their configured weightings.
Completing one Item only contributes the amount defined by its Progress Monitoring configuration. Other activities may still need to be completed before the Task reaches 100%.

Task Viewer & Schedule Tracking
I've added a new Task to my Schedule. What should I check?
Check that the Task is in the correct position, linked to the correct Location and associated with the required Task Set.
Once configured, check the Task in Task Viewer to confirm the expected Items and Progress Monitoring configuration are available.

Should I use Manual Update or Bulk Update?
Use Manual Update for smaller changes and Bulk Update when adding multiple Tasks or making larger changes to the Schedule.
Whichever method you use, Tasks must still be correctly positioned, linked to the appropriate Location and associated with the correct Task Set.

Can I add new Locations or Tasks after my Schedule is live?
Yes. You can update an existing Schedule without recreating it.
For smaller changes, update the Schedule manually. For larger changes, use the Bulk Update functionality to make the required changes more efficiently.

Dashboards & Reporting
Why can I not see my Schedule on the Dashboard?
Check the Schedule Code/tags and Dashboard configuration.
Dashboard data is filtered according to its configuration.
Why are Task Viewer and the Dashboard showing different progress?
Check when the Dashboard was last refreshed.
Dashboards are normally refreshed once daily as standard.
