Progress Monitoring – Tags & Presets

Overview

Tags and Presets are an important part of setting up Progress Monitoring correctly.

They provide the structure that allows RDrive to identify, organise and report on Progress Monitoring data across your Company, Projects, Schedules and Dashboards.

Correct configuration is particularly important where:

  • Multiple schedules are being managed
  • Different projects use different programmes
  • Progress needs to be filtered or reported separately
  • Dashboard reporting is required
  • Schedule information needs to be consistently identified across projects

LevelPurpose
Company LevelCreate the required Presets and define the standard configuration available to projects.
Project LevelPopulate those Presets with the values applicable to the individual project.
ScheduleApply the required Tags to identify the schedule for Progress Monitoring and link it to the corresponding Schedule Code held within the Project Presets.
ReportingUses the configured project items, schedule and tagged data to display the relevant Progress Monitoring information.

Tags are then used to identify the relevant Schedule Templates, Schedules, Processes and Issues that belong to the Progress Monitoring configuration.

Company-Level Setup

The required Presets must first be created at Company level.

These create the fields that will later be populated against individual projects.

For projects using more than one schedule, separate Presets are required for each schedule.

Schedule Presets

For each schedule, create:

PresetTypePurposeExample
Schedule 1-CodeTextUnique code identifying Schedule 1SCH-01
Schedule 1-Planned Start DateTextPlanned start date for Schedule 101/07/2025
Schedule 1-Planned End DateTextPlanned end date for Schedule 131/12/2026
Schedule 2-CodeTextUnique code identifying Schedule 2SCH-02
Schedule 2-Planned Start DateTextPlanned start date for Schedule 201/09/2025
Schedule 2-Planned End DateTextPlanned end date for Schedule 231/03/2027

Continue the same structure for any additional schedules required.

Important: The Schedule Code entered in the Project Preset must match the Schedule Tag used by that schedule.

Project Configuartion

Populate the Presets at Project Level

Once the Presets have been created at Company level, they are available to be populated for each individual project.

Populate those fields with the values for that particular project.

Example

A project containing two programmes might be configured as:

Project PresetProject Value
Schedule 1-CodeSCH-01
Schedule 1-Planned Start Date01/07/2025
Schedule 1-Planned End Date31/12/2026
Schedule 2-CodeSCH-02
Schedule 2-Planned Start Date01/01/2026
Schedule 2-Planned End Date31/03/2027

This tells Progress Monitoring which schedules and date ranges apply to that project.

Schedule Codes and Schedule Tags

This is the key relationship in the setup.

The Schedule Tag MUST match the Preset Schedule Code entered in the Project Preset.

For example:

ConfigurationValue
Project PresetSchedule 1-Code
Preset ValueSCH-01
Schedule TagSCH-01

The project configuration determines which values are relevant to that particular project.

Progress Monitoring Reporting Tags

Progress Monitoring also requires standard tags to identify the different types of data used by each PM configuration.

The required tags depend on whether the project is using PM Lite, PM Pro or PM Sync.

PM Litebi-pmlitebi-pmlitebi-pmliteBI-Issue
PM Probi-pmsyncbi-pmsyncbi-checklistbi-snag

FAQs & Troubleshooting

Q: What if my project has more than one Schedule?
A: Create a separate set of Schedule Presets for each Schedule, including its Code, Planned Start Date and Planned End Date. Each Schedule Code must match the corresponding Schedule Tag.

Q: Why is my Schedule not appearing correctly in Progress Monitoring?
A: Check that the Schedule Code populated in the Project Preset exactly matches the Tag applied to the Schedule

Q: Do I create the Presets separately for every project?
A: No. Presets are created at Company level and then populated with the appropriate values at Project level.

Q: Can two Schedules use the same Schedule Code?
A: No. Where multiple Schedules are being tracked within the same project, each Schedule should have its own unique code so that RDrive can identify them separately.
