Users, Teams and Roles

In RDrive, all Users must be assigned to a Team or Teams in order to have visibility on the project.


There are 4 standard team options available and the level of visibility across the project will depend on the Team the User is in. Let's explore the capabilities of Users, Teams and Roles on RDrive.


Main Contractor

Subcontractor

Client

Project Administrator



Main Contractor


Responsible for Raising Issues, Quality Checks and Close. 


Managers of the Team will have permission to close out items without being managed by Responsible Party. Roles will determine users permissions.


Read Only


Can Edit – Can raise MC Defects and Edit Items Assigned to the Main Contractor Team. Can only Sign off items.


Can Close - All as above, can also raise and close items.


Manager - All as above and can Delete.

 
Subcontractor

Separate Teams as Subcontractors.


These are the Responsible Party and responsible for managing items assigned to them.

Subcontractors can only see and manage work assigned to them.


Read Only


Can Edit – Can raise Sub Contractor Defects and Edit Items Assigned to their Team.


Can Close - All as above, can also raise and close Subcontractor Raised items.


Manager - All as above and can Delete.


Client


Client team, can raise Client Issues and Processes, will only see activity within their team.


Read Only


Can Edit - All above and can edit items only.


Can Close - All as above, can also raise and close Client issues


Manager - All as above and can Delete.



Project Administrator 

 

Responsible for managing the Project Assets, Drawings, Teams, Users, Lists etc.


Only Permitted Access to User with Training 


Drawing Admin - Manage Drawings Only.


Template Admin - Manage processes and issues with the project only, i.e pre-populate maintenance process.


 User and Team Admin - manage users and teams only


Project Admin - All as above and manage preset list (your category lists).


Project Manager – All the above and manage preset list (your category lists) and overall control of all items.


Users, Teams and Roles Terminology to note



Controller - A controlling Team is ultimately responsible for managing the item. Only Managers of controlling Teams have the permission to Delete items.

Assigned - Only the Assigned Team will have permission to action the item.





 FAQ Troubleshooting: 


If contact is made and the user cannot see anything on the project check whether they have been placed in a team or just added as a user.


If contact is made from a User who cannot normally see or do things that they usually can it's a good start to check which team(s) they are in as this is a common mistake. 


eg. the User is logged in under the MC Team and not Project Admin and cannot perform Project Admin permissions.
