Setting Up an Asite Integration with RDrive

Overview

RDrive can integrate with Asite to automatically transfer agreed documents and information from RDrive into your Asite environment.


The integration is configured and managed by the RDrive team. You do not need access to RDrive DataBridge or need to configure the technical integration yourself.


To set up the integration, we will work with you to:

  1. Establish access to your Asite environment.
  2. Confirm what should be transferred and when.
  3. Agree how RDrive information should be mapped into Asite.

What We Need From You

1. Provide Access to Asite

Your RDrive contact will provide you with a dedicated email address to use for the integration.


Please use this email address to create or invite an account within your Asite environment and provide access to the areas required for the integration.


This should include access to the relevant:

  • Asite Project / Workspace
  • Destination folder(s)
  • Any other areas required for the agreed document transfer

The account must have sufficient permissions to allow RDrive to transfer documents into the agreed locations.

Once the account has been created and access granted, please let your RDrive contact know.


2. Confirm What Should Be Transferred

Next, we need to understand which RDrive forms should be sent to Asite and when the transfer should happen.

For each Form / Process you would like to integrate, please provide:

  • RDrive Project
  • RDrive Form / Process
  • RDrive status that should trigger the transfer
  • Asite Project / Workspace
  • Asite destination folder


Example:

A requirement could be:

When the Fire Stopping Form reaches Closed in RDrive, transfer the generated document to the Fire Stopping folder within the relevant Asite workspace.


If different forms or statuses have different destinations, please provide the requirements for each.


3. Confirm Your Asite Mapping Requirements

We also need to understand how the document and its information should be registered within Asite.


Depending on your Asite configuration, this may include:

  • Asite Status
  • Purpose of Issue / Document Type
  • Document Title
  • Document Reference
  • Revision
  • Any additional Asite metadata that needs to be populated

Your RDrive contact will work with you to identify the corresponding information within RDrive and configure the required mappings.


You do not need to create these mappings yourself.


What RDrive Will Do

Once the access, transfer and mapping requirements have been agreed, the RDrive team will configure the integration on your behalf.


We will:

  1. Connect the integration to the Asite account created for RDrive.
  2. Configure the required RDrive Form / Process mappings.
  3. Configure the agreed Asite document and metadata mappings.
  4. Configure which RDrive status changes trigger a transfer.
  5. Test the document transfer into Asite.
  6. Confirm that the integration is working as expected.


You do not need access to RDrive DataBridge. DataBridge is managed by RDrive as part of the integration service.

FAQs & Troubleshooting

Q: Do I need access to RDrive DataBridge? 
A: No. DataBridge is configured and managed by the RDrive team. 


Q: Do I need to configure the mappings myself? 
A: No. We will work with you to understand your requirements and configure the mappings on your behalf. 


Q: Can different RDrive forms be sent to different Asite folders? 
A: Yes. Let us know the required destination for each Form / Process when providing your integration requirements. 


Q: When will a document be transferred to Asite? 
A: This is based on the agreed RDrive status trigger. For example, you may choose to transfer a document when a form reaches Closed
